How Your SEO Wizard Handles Data

This policy covers Your SEO Wizard websites, services, and SEO tools.

Scope

This Privacy Policy applies to Your SEO Wizard websites, project inquiry forms, consulting services, and software tools, including SEO Graph Wizard, SEO Schema Wizard, SEO Crystal Ball, SEO Localization Wizard, and future Your SEO Wizard tools.

Some tools may run locally on your device, some may use hosted account or signup systems, and some may connect to third-party services such as Google Analytics or Google Search Console with your permission.

Information We Collect

Depending on how you use the site or tools, we may collect:

  • Contact details such as name, email address, company, website URL, and project information.
  • Account and entitlement details used to confirm whether you may access a tool.
  • Consent records for Terms acceptance, privacy acknowledgement, and optional marketing preferences.
  • Support messages, project notes, and files you choose to send to us.
  • Basic website logs and technical information such as IP address, browser, device, pages visited, and timestamps.
  • Referral and campaign attribution details, such as recognized UTM values, click-identifier types, and the referring website hostname.
  • Tool usage metadata such as app version, access status, last verification time, and error reports when provided.
  • AI Citation Monitor inputs and results, including research queries, optional location context, target and competitor domains, provider/model context, answer text, cited or consulted sources, timestamps, and comparison history.

Website Analytics and Crawler Logs

We use website analytics and server access logs to understand how visitors find and use the site, diagnose errors, measure campaign links, and distinguish likely crawler traffic from browser visits. Attribution events are limited to recognized campaign fields, click-identifier types, landing paths, and referring hostnames. We do not intentionally add arbitrary query-string values or full referring URLs to our custom analytics events.

Crawler names are inferred from the user-agent string supplied with a request. Because user-agent strings can be imitated, these classifications are estimates and are not proof that a request came from the named company or service.

Google API Data

Some tools, including SEO Graph Wizard, may request permission to access Google account data. When you authorize a Google connection, the tool may use read-only access to:

  • List Google Analytics 4 accounts or properties available to your Google account.
  • Read Google Analytics 4 reporting metrics selected by you.
  • List Google Search Console sites available to your Google account.
  • Read Google Search Console performance metrics selected by you.

We use this data to provide reporting, graphing, auditing, and related SEO tool functionality. We do not sell Google user data. We do not use Google user data for advertising. We do not use Google user data to train generalized AI models.

Your SEO Wizard's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

AI Citation Monitor and Third-Party Providers

SEO Crystal Ball's experimental AI Citation Monitor can send a research query and optional location context to OpenAI, Perplexity, or both when you select those providers. Those companies process the request under their own API terms and privacy practices. We do not send scanned page text to a provider as monitor prompt content.

The monitor may store the returned answer text, provider and model context, cited and consulted source URLs, brand and domain matches, citation metrics, timestamps, and comparison history under the account or entitlement subject. This history supports dated comparisons and is separate from Crystal Ball's scored SEO audit. Do not submit confidential, regulated, personal, or customer-identifying information as a monitor query.

Provider API credentials are optional bring-your-own-key connections. Account-scoped keys are encrypted at rest and kept separate from reports and monitor history. Provider billing is handled by the provider account owner. See Data Providers, API Keys, and Monitor Privacy for current setup and operating limits.

Local Storage

Desktop tools may store project files, profile settings, OAuth tokens, cached responses, exports, or configuration files locally on your device. You are responsible for protecting files stored on your own device and for sharing exported reports appropriately.

How We Use Information

  • To provide websites, SEO services, app access, support, reporting, and tool functionality.
  • To verify account entitlement and tool access.
  • To respond to inquiries and project requests.
  • To maintain security, prevent abuse, and troubleshoot issues.
  • To improve our services and tools.
  • To send service, account, security, and transactional messages.
  • To send marketing messages only where permitted and consistent with your preferences.

Marketing Communications

Marketing email consent is handled separately from required service or account communications. You may unsubscribe from marketing emails without losing access to tools solely because of that unsubscribe. We may still send non-marketing messages needed for account access, security, support, billing, or service operation.

Sharing

We may share limited information with service providers that help operate the site, forms, email, hosting, analytics, databases, security, or support systems. These providers may process information only as needed to provide those services. We may also disclose information if required by law, to protect rights and security, or as part of a business transfer.

Retention

We retain information for as long as reasonably needed for the purposes described in this policy, including account operation, project history, monitor comparisons, legal compliance, security, and business records. AI Citation Monitor retention controls are still being finalized for public release. Until a release provides self-service history deletion, you may contact us to request deletion of stored monitor history or account-scoped provider credentials, subject to legal, security, backup, and operational limits.

Your Choices

  • You may choose not to submit inquiry or signup forms.
  • You may revoke Google account access through your Google Account permissions.
  • You may delete local project files and exports from your device.
  • You may request deletion of hosted AI Citation Monitor history and removal of stored provider credentials.
  • You may unsubscribe from marketing emails using the unsubscribe link in those messages.
  • You may contact us to request access, correction, deletion, or account changes.

Security

We use reasonable technical and organizational measures to protect information. No website, app, or transmission method is completely secure. You should use appropriate local device security and avoid sharing sensitive exports or tokens.

Children

Our services and tools are intended for business and professional use. They are not directed to children under 13.

Changes

We may update this Privacy Policy as tools, services, or legal requirements change. Updated versions will be posted on this page with a new effective date.
